Renaming a user and Name Changes

Occasionally there are times when a user's login name or display name due to marriage, etc.  This is handled differently for students/alumni and Employees.


For Students/Alumni -

Note:  Email address and login names do not change for this population and changes are limited to their Display Name. Their email address is considered permanent.

As of 05/09/2018, Jay's PHP script "update-eagle-accounts" was reactivated into the Cron jobs and runs each day at 1:10 a.m.  The script compares AD name information (last name & display name) with name information in PowerCampus and updates AD accordingly.  So, within 24 hours of a name change in PowerCampus, the Eagle AD record is also updated.  If a name requires an immediate update in AD, the following manual process may be applied.  NOTE: for a name change, updating the Nickname field in Powercampus is an essential first step.

1- Open Active Directory Users and Computers
2- Find the desired user in the Eagle context
3- Right-click on the user and choose "Properties"
4- On the "General" tab, edit the "Display Name" field value and the "Last name" field value.  It's the "Last Name" field that actually determines the display name as rendered in Google.

This change will immediately be reflected in the Display Name field in EMC and will trickle up to Google/G-Suite with the hourly GADS Sync. 

Note: For eLearning, the AD name changes will be updated the next day as the script runs overnight at 3AM.   It syncs from Powercampus via other processes/scripts.


For Faculty/Staff

Note: Email addresses and login names DO change for this population.

1- Open Exchange Management Console (EMC) on the Exchange Server via RDP.
2- Go to Recipient Configuration > Mailbox > [User]
3- Right-click and choose "Properties" > General Tab
4- Edit the "Alias" field to reflect the new login name and also the full name value at the top of that tab/box
6- Click on the "Account" tab and edit both of the "User Logon name" values there
7- On the email address tab, verify that both the old and new email addresses are present (they should/will be).  This ensures that the user's previous/old email address will still receive mail properly.

This change will immediately be reflected in the Display Name field in EMC and will trickle up to Google/G-Suite with the hourly GADS Sync.

Other Notables...

  • For eLearning, the course enrollment data is pulled directly from SQL but actual account info (names, etc.) are pulled from AD.  So, if AD changes, then eLearning should reflect those changes.  The sync is a result of a nightly 3:00am process in eLearning under crontab called ldap_sync_users.php. The php file is located under /var/www/auth/ldap/cli/sync_users.php. Do not run it manually unless absolutely needed. First it will take quite a bit of time and it may create a disruption.
