Refreshing Contacts in Mailchimp

Summary - Student Life use Mailchimp for their weekly newsletter.  Contacts need to be periodically refreshed with current student data.

1- Student life uses a free Mailchimp account, which allows for up to 2,000 contacts.  If contacts need to be reduced or purged, see separate wiki article for archiving contacts.

2- The Mailchimp account username is cairnstudentlife (password in eWallet)

3- In the Mailchimp account, if necessary, rename the "Audience" to be relevant to the current school year.  There is a group under it called "Students"  Add an option for "All Undergraduate Students as of x-xx-xx" or whatever the requested criteria is.

4- The addresses will then need to be imported.  First the list of addresses needs to be generated.  Instructions for that are here - https://ts.cairn.edu/staff/index.php?/Knowledgebase/ViewKnowledgebase/Article/448.  For just undergrad students, use the option/instructions for extracting them from a Google group. 

Instructions for Archiving Contacts

  • Contacts in Mailchimp can be archived, which allows them to be excluded from account quotas but yet we'd retain the flexibility to add them back or unarchive them later if need be.  This provides an advantage over deleting them or unsubscribing them, because in those cases we can't add them back and they instead have to manually re-subscribe.  This is particularly useful in the Student Life Mailchimp account because it only allows for up to 2,000 contacts at the Free level.
